An opportunity has arisen for a PA to work closely with the Finance Director, Head of Operations and Head of Property Fund Finance to support them in delivering their demanding responsibilities. This will entail a wide and varied range of activities and a flexible approach, giving you the opportunity to take initiative and make a positive contribution to the success of a growing business.
Extensive diary management. Schedule meetings and events internally and externally to include room bookings and catering/refreshments as required. Ensure the Finance Director, Head of Operations and Head of Property Fund Finance are present timely for all key meetings.
Arrange travel through M&G Real Estate’s preferred travel agent following M&G’s travel policy. This will include international travel and preparation of detailed travel itineraries. Actively contribute to the management of travel costs.
Manage e-mail, telephone and all other correspondence on behalf of the Finance Director, Head of Operations and Head of Property Fund Finance in an efficient and professional manner. Respond to enquiries where possible, direct calls and emails to the appropriate persons. Take and relay accurate messages.
Ensure agendas and meeting papers are available in readiness for meetings, so the Finance Director, Head of Operations and Head of Property Fund Finance attend meetings fully informed of the subjects to be discussed and background to the meetings.
Take minutes regularly at internal or external meetings.
Undertake basic research using the Internet and other ad hoc projects as required.
General administration including filing, updating of spreadsheets/presentations, preparation of expense submissions, gifts & hospitality approvals and support with preparing agendas and meeting papers.
Maintain holiday and sickness records for the Finance Director, Head of Operations and Head of Property Fund Finance.
Prepare expenses forms and process invoices for the team, arranging sign off of forms and invoices by cost code owners. Keep a record on a spreadsheet and scanned images of all payments processed.
Manage off-site file storage and recovery for the Finance and Operations teams.
Assist with the organisation of away-days and team building exercises.
Provide administrative support to other members of the Finance, Operations and PFF teams when time permits.
Organise and ensure all systems and workstations and any changes are in place for new and existing staff for the teams managed by the Finance Director, Head of Operations and Head of Property Fund Finance, i.e. ensuring CSA’s and other such authorisations are provided.
To provide cover in conjunction with other PA’s as required from time to time.
To understand and demonstrate positive behaviours in line with our Attributes and Expectations.
To understand the Health and Safety responsibilities appropriate for your role and ensure that they are undertaken in accordance with the relevant Company policies, procedures and guidelines. This includes responsibilities relating to your own H&S and others affected by your actions. Any concerns relating to H&S risks must be escalated to your line Manager and the Company’s H&S Manager.
To understand the Company’s Sustainability vision and apply the Sustainability Strategy as appropriate for your role.
Fulfil regulatory requirements, including timely completion of all regulatory training and declarations.
Essential Experience and/or Skills
You will be highly organised with the ability to prioritise a heavy workload, have knowledge and experienced user of Microsoft Office to meet the outlined accountabilities, ability to communicate confidently and professionally with all levels of the business, strong attention to detail and time management skills as well as the ability to work on own initiative and with minimal supervision and have good customer care, energy and drive with a “can-do” attitude.
