An opportunity has arisen for an efficient and professional PA to join M&G Real Estate to provide full secretarial support to the Head of Investment Strategy and other Investment Professionals in the UK business. You will be Secretariat for the Property Investment Committee encompassing extensive weekly minute taking at meetings.
Your key responsibilities will be -
•To provide the following support for stakeholders:
- To Act as the Key point on contact
- To manage the following in an efficient and professional manner: e-mail, telephone and all correspondence responding to enquiries where possible, directing calls and emails to appropriate persons, taking and relaying accurate messages and responding to routine correspondence/preparation of draft replies to more complex issues. - Secretariat for Property Investment Committee encompassing extensive weekly minute taking at meetings reporting in to the Head of Investment Strategy. - Extensive diary management: scheduling meetings and events internally and externally to include room bookings and refreshments/catering as required. - Ensuring agendas and meeting papers are available in readiness for meetings, so that managers attend meetings fully informed of the subjects to be discussed and background to the meetings. - Travel management: arranging travel through M&G Real Estate’s preferred travel agent. This will include international travel and preparation of detailed travel itineraries. - Preparation of detailed Microsoft PowerPoint presentations. - To undertake basic research using the Internet and ad hoc projects as required. - General administration including filing, updating of spreadsheets/presentations, preparation of expenses, organising papers and reports as necessary - Updating contacts, organisations and meeting records on Salesforce. - Maintain holiday and sickness records for self and stakeholders.
•To prepare expenses forms and process invoices for stakeholders. To keep a record on a spreadsheet of all spend. To manage sign off process for the Head of Investments Strategy’s direct reports expenses forms and invoices.
•To manage off-site file storage and recovery for stakeholders. •Assist with the organisation of away-days and team building exercises. •Organise and ensure all systems and workstations and changes are in place for new and existing staff for the teams managed by the Head of Investment Strategy i.e. ensuring CSA’s and other such authorisations are provided. •To support members of the Singapore office by arranging meetings and accommodation when they visit London. •To understand and demonstrate positive behaviours in line with our Attributes and Expectations. •To understand the Health and Safety responsibilities appropriate for your role and ensure that they are undertaken in accordance with the relevant Company policies, procedures and guidelines. This includes responsibilities relating to your own H&S and others affected by your actions. Any concerns relating to H&S risks must be escalated to your line Manager and the Company’s H&S Manager. •To understand the Company’s Sustainability vision and apply the Sustainability Strategy as appropriate for your role. •Fulfil regulatory requirements, including timely completion of all regulatory training and declarations.
What we are looking for
Good customer care, energy and drive with a “can-do” attitude.
We are looking for you to have experience in a similar role with extensive minute taking experience along with advanced skills on Microsoft Outlook, Word, Excel and PowerPoint. You will also need a good understanding and knowledge of the property industry.
It is essential for you to have strong attention to detail and time management skills along with the ability to work with minimal supervision.
You must demonstrate that you are highly organised with the ability to prioritise a heavy workload along with having the ability to communicate confidently and professionally with all levels of the business.
