Maintain administration of Head of Asia Pacific’s office
Ensure all administration tasks (e.g. expense claims (online), Salesforce updates) are prepared accurately and promptly. (Maintain & ensure Gifts and Hospitality approval tracked & received)
Co-ordination of M&G Asia Pacific Events
Working with other members of the team, Schedule and co-ordinate internal and external events including Board offsites
Be a lead ambassador for the Asia Pacific business
Project a positive image both internally and externally for the M&G Asia Pacific business. This will include planning and organising visits for all senior internal visitors, looking after their schedule during their stay in Singapore
Build a strong professional relationship and peer network with Executive Assistants
Demonstrate a professional approach and positive impression of M&G Asia Pacific in all contact with the assistants of senior M&G Investments staff, M&G Group Board members’ and Prudential Group executives. As appropriate, share recommendations (e.g. venues, knowhow, etc) and seek opportunities for co-operation and networking.
Co-ordinate corporate calendar
Prepare and maintain an annual M&G Asia Pacific corporate calendar, scheduling and tracking Board and Committee meetings. Maintaining a schedule of planned regional travel by the Head of Asia Pacific for each year.
Best practice & knowledge sharing with admin team
Work with Office Managers to encourage knowledge sharing opportunities and team building amongst the administration team.
Management of correspondence
Assist the Head of Asia Pacific in managing correspondence and handling calls. Proactively respond to, file or create messages as appropriate.
Management of Head of Asia Pacific's Schedule
Pro actively manage Head of Asia Pacific’s schedule to ensure Board/committee, client/investor and business commitments are diarised and the Head of Asia Pacific has the required time and information to prepare for each. Pro-actively request briefing materials and co-ordinate preparation sessions for the Head of Asia Pacific, as appropriate.
Management of social media and internal communications
Assisting the Head of Asia Pacific in monitoring and managing internal (Yammer) and external (eg LinkedIn) communications. Actively promote use of these channels with staff.
